The one thing worth knowing before you ask for a price: the day is most of it. A Saturday means the venue gives up its biggest night of the week. Monday to Thursday it is dark anyway — and that difference is bigger than anything else you can negotiate.

You Are Buying the Venue's Night, Not Just the Room
A buyout price is not really about square footage. It is about what the venue gives up by closing to everybody else, and that changes enormously depending on which day you pick. Knowing this is worth more than any negotiating you will do afterward.
Monday to Thursday
The building is dark anyway
- The venue gives up nothing it would have earned
- By far the cheapest way to take the whole place
- Easiest dates to get at short notice
- Setup time is far more flexible with nothing either side

Sunday
Quiet, and daytime suits it
- Nothing else competing for the building
- Daytime and early-evening events work best
- Good attendance for family events — no work next day
- Usually priced between a weekday and a Friday
Friday & Saturday
The venue's own biggest nights
- Saturday is the most expensive date on the calendar
- The venue is closing its best trading night for you
- Book furthest ahead — these go first
- Worth it when the date genuinely cannot move
If your date can move at all, ask for a weekday figure alongside your first choice. Most people who do are surprised, and a fair number move.
What You Are Buying
Get "Exclusive" Written Down
It is the word every buyout page uses and almost none defines. These are the four things to have spelled out in the agreement rather than assumed, because assuming is how somebody discovers on the night that the bar was still serving walk-ins.
Which Areas
Main room, lounge, bar, patio, lot — listed individually. "The venue" means different things to different people and only one of them is in the contract.
Whether the Doors Close
Does the restaurant stop serving, does the bar refuse walk-ins, for which hours exactly. This is the one people assume and should not.
Your Hours, and Setup
When your time starts, when it ends, and whether build and strike sit inside those hours or before them. Getting this wrong costs you the beginning of your own event.
Capacity for Your Layout
A seated dinner, a standing reception and a show with a dance floor give three different numbers in the same room. Get the one that matches what you are actually doing.
The Spaces
What a Full Buyout Covers
Worth walking as one route rather than looking at photographs of each room, because how they connect is the thing a buyout is really for.

The Main Room
Seated dinner, reception, stage and dance floor. Capacity for your layout is confirmed by the events team rather than quoted as one headline number.

Lounge, Bar & Booths
Somewhere for people to go when they have finished eating, and a getting-ready space before it starts. On a full buyout this is what stops the night being one room.

Patio, Entrance & Lot
Arrivals, outdoor space in season, and parking on site. Say whether the lot is part of what you need, because it is the piece most often left out of the agreement.

Send Two Dates
Your first choice and a weekday alternative. Ask for both figures — that comparison is the whole point.
Get the Minimum Spend
A real number for those dates, not a range. It is the gate, so it comes first.
Define Exclusive
Which areas, which hours, whether the doors close, and where setup sits. In writing.
Hold the Date
Deposit and terms agreed, and the building is yours for that day.
