Preferred Vendors
and Bringing Your Own
A list is a recommendation here, not a rule. These are the people the events team has watched work in these rooms — and you are free to book somebody else, subject to licensing, insurance and approval.

Ask the Team
Need a Name, or Bringing Your Own?
Tell us which categories you still need and the events team will send names. If you have already booked somebody, send that instead and we will confirm what they need to supply.

The PREVA events team has your details and will come back with names or with what your vendor needs to supply.
The List
People We Have Watched Work Here
Knowing a room matters more than it sounds. Somebody who has lit this space before, or who knows where the load-in door is, saves you an hour on the day you have least of it.
Photography & Video
Ask to see a full gallery from one event rather than a highlights reel, and ask how they handle low light.
Names for this category are sent by the events team — ask on the form above and you will get a short list rather than a directory.
DJs & Live Music
Worth asking whether they have played this room before, and who is providing the sound.

Florals & Décor
Bring a photograph of the room to the first meeting. It saves a whole round of guessing.

Cakes & Desserts
Ask about delivery timing and whether they need refrigerated space on the day.

Planners & Coordinators
A day-of coordinator is the difference between hosting your event and running it.

Hair & Makeup
Ask how long they need per person, and whether they come to you or you go to them.

Bringing Your Own
Three Things, Then You Are Done
Nothing here is designed to steer you back to the list. It is the same paperwork any venue needs, and asking about it early is the whole trick.
Licensing
Where the trade requires it — alcohol, food, anything with a permit behind it. Most vendors have this ready and can send it the same day.
Certificate of Insurance
The one item that catches people out, because it can take a vendor a few days to get one issued. Ask for it the week you book them, not the week of the event.
Load-In and Finish Times
Your vendor needs the venue's times, not yours. Send them the schedule the events team gives you and most problems on the day disappear.
Ask About Fees Early
If an outside vendor fee applies to your booking, you want it in the budget at the start rather than on the final invoice. Ask; you will get a straight answer.
What They Are Working With
Worth Sending Your Vendor These
Photographs of the actual rooms save a florist, a photographer and a DJ a site visit each.

The Main Room
Where most of the day happens. Dimensions, power and where a DJ or a band can set up are confirmed by the events team on request.

Dressed for an Event
Useful for a florist or a décor vendor deciding on scale. Send it with your first enquiry to them and skip a round of questions.

Entrance & Patio
Where vehicles arrive and gear comes in, and a photographer's most reliable outdoor light on a good day.
Simple & Clear
How It Works
Hold the Date
Vendors come after the date. Book the room first or you will be doing this twice.
Ask for Names
Tell the team which categories you still need and you will get a short list, not a directory.
Send Their Paperwork
Licensing and a certificate of insurance for anyone you have booked yourself. Early, not late.
Share the Schedule
The venue's load-in and finish times go to every vendor, so nobody arrives to a locked door.

Tell Us Who You Have Booked
Send your vendors' details as you book them rather than all at once in the final week. It is the difference between a formality and a scramble.
